Job Description:

Permanent Full-Time Position
8:30am to 4:30pm / Monday to Friday

The Advancement Assistant provides administrative support to the University Advancement team. This position assists and collaborates with staff to support engagement, fundraising, and revenue-generating activities for the Emily Carr community and beyond. This position requires occasional evening and weekend overtime work.

Responsibilities:

1 Assists with creating and distributing content for annual fundraising appeals.
2 Supports foundation board meetings by preparing documents, creating agendas, recording minutes and updating membership lists.
3 Supports student awards by organizing juries, compiling applications, tracking student letters and updating websites.
4 Creates content for Advancement web pages, social media platforms, and newsletters for approval by the Manager, Major Gifts + Fund Development; updates pages and CanadaHelps content as required.
5 Maintains Raiser’s Edge by entering data, processing donations, including those through CanadaHelps and Charitable Impact, issuing tax receipts, running batches, tracking matching funds, revising letter templates and inputting/running action reports.
6 Provides support for various events including fundraisers, donor receptions, convocation, special events, alumni events, jury selection, meetings, etc.
7 Provides administrative support to the Director, Advancement including scheduling of meetings, film booking holds, liaising with Facilities to obtain final costs from JCI for services provided to the filming client, etc.
8 Drafts correspondence for signature.
9 Arranges meetings, appointments and room bookings. Assists with travel arrangements for management.
10 Takes meeting minutes and adds action items in Teams
11 Conducts research relating to special projects and initiatives.
12 Greets visitors in the main office reception area and answers departmental emails and phone inquiries.
13 Prepares purchase orders and processes invoices. Reconciles credit card and petty cash transactions and maintains petty cash.
14 Arranges for maintenance of office equipment. Orders supplies and other goods.
15 Maintains paper and digital filing systems. Copies, scans and files documents.
16 Provides departmental vacation coverage as required.
17 Performs other duties as required.

Qualifications:

• Two-year certificate or diploma from a recognized post-secondary institution, including courses in fundraising and/or office administration.
• Minimum two years of relevant work experience,
• Or an equivalent combination of education and experience.
• Experience working with volunteers, sponsors and donors.
• Interest in art, design and media.
• Excellent writing skills and the ability to clearly communicate complex information.
• Excellent organizational and time management skills.
• Detail-oriented and the ability to proofread with accuracy.
• Ability to work independently and as an effective team member in a fast-paced environment.
• Proficient in Microsoft Office.
• Familiarity with Raiser’s Edge, MailChimp or similar platforms.
• Ability to use social media platforms in a professional capacity.
• Knowledge of bookkeeping and CRA requirements as they pertain to charities is an asset.
