Carousel Theatre for Young People (CTYP) empowers young people and families through meaningful, imaginative, and accessible theatrical experiences. The productions we create and present engage youth, families, and educators in live theatre, and platform stories for and about communities that are underrepresented on stages in Canada, particularly stages that are meant to serve youth. Our productions develop emotional literacy, stimulate community, encourage growth, and inspire minds in a unifying experience - they provide unique opportunities for thought, discussion, and joy. From work prioritizing 2SLGBTQI+ voices, to investing in Indigenous work for young people, CTYP focuses on introducing young minds to new ideas and enabling them to talk about them.

Job Description:

CTYP welcomes applications for a part-time Guest Services Coordinator. This is a part-time, seasonal position, running from October to May. Some evening and weekend work will be required for special events and openings. Regular office hours are Monday through Friday, 9am-5pm. The expected work hours are up to 24 hours per week.

Reporting to the Co-Artistic and Managing Directors, the Guest Services Coordinator (GSC) leads, manages and executes all audience services for CTYP events, including coordinating/scheduling/running box office during CTYP shows, training volunteer ushers, and communicating with FOH managers. The GSC is responsible for leading and ensuring a high standard of patron services that aligns with organizational values and is also involved with all ticketing elements, as well as administrative tasks at CTYP’s offices on Granville Island.

Responsibilities:

Box Office & FOH Coordination:
-Frontline box office work during the run of CTYP programming or, if unavailable, coordinating, training and scheduling all box office staff for CTYP shows
-During school matinees, creating seating plans, communicating with schools and working with FOH staff to ensure smooth operations
-Setting up lobbies/FOH before show runs including
-Creating bio boards for the company of each show
-Setting up the box office
-Any miscellaneous decorations
-Assisting with booking in school groups, as well as Outreach Workshops, issuing invoices and receiving payment
-Serving as primary ticketing agent during the week for in person and phone sales, processing box office ticket sales, exchanges, refunds, and other related patron needs
-Receiving donation requests and issuing ticket donations according to CTYP’s values and capacities
-Assisting in running End of Day procedures and other administrative duties as needed

Volunteer Coordination:
-Cultivating, scheduling and managing volunteer ushers for CTYP productions and presentations
-Providing onboarding and training to new volunteers
-Coordinating volunteer appreciation events
-Contributing to marketing for the volunteer program

Rental Coordination:
-In partnership with Production & Facilities Manager, coordinating use of the CTYP studio spaces including scheduling, administering rental bookings/invoices and collecting payment
-Cultivating new relationships and maintaining existing renter relationships
-Assisting with marketing for the rental program
-Creating/coordinating new initiatives such as the Emerging Artist Residency Program

Qualifications:

-Team member passionate about theatre for young audiences and families. We are a small but mighty and dedicated team.
-Experience with Point of Sales systems or ticketing softwares. Proficiency with Spektrix and Theatre Manager is an asset
-Experience in box office and patron services
-Excellent verbal and written communication skills, problem solving ability, and excellent organizational skills
-Outstanding customer service skills with a high level of empathy and patience, especially with children and families
-Ability to remain calm in challenging circumstances
-Ability to prioritize and meet deadlines
-Ability to build and maintain long-term relationships with patrons and volunteers
-Works effectively in teams, and motivated to work independently in a fast-paced environment
-Self-sufficient in office administrative tasks, including record-keeping, invoicing and scheduling
-Proficiency with Google Suite
-Graphic design experience is an asset
-Experience in event planning is an asset
-Occupational First Aid Level 1 is an asset.
-The Guest Services Coordinator must Consent to a Criminal Record Check due to the nature of Carousel Theatre’s work with young people.
