Job Description:
We are currently seeking an energetic and personable individual, with strong organizational and leadership skills. The ideal candidate will successfully curate and deliver memorable gallery exhibitions across multiple North Van Arts venues, fostering community engagement and inclusivity.
This contract will be from April 1st, 2025- June 31st,2025 with the possibility of extension after this term.
Reporting to the Executive Director, the Exhibitions Coordinator is responsible for overseeing and executing gallery exhibitions, in multiple exhibition spaces (CityScape Community ArtSpace, District Foyer Gallery, and District Library Gallery). Responsible for curation, planning and coordination, this role involves coordinating with artists and volunteers, and hosting gallery receptions. This role also requires the physical ability to install, hang and pack fine art both in traditional and non-traditional 2D and 3D forms, with assistance from contracted gallery installers. The Exhibitions Coordinator will work closely with the Marketing Manager, to develop engaging content for digital and print media to maximize exhibition attendance.
This is a part-time contract position, approximately 20 hours per week (to a maximum of 80 hours per calendar month) working weekdays, evenings, and weekends to effectively fit the exhibition schedule.
Due to the nature of this role, the Exhibition Coordinator is an in-office position with limited options for
remote work.
Responsibilities:
The Exhibitions Coordinator is responsible for:
PLANNING & COORDINATION
• Curation, coordination, and execution of multiple rotating exhibitions during the contracted term. (2 x 5-6 weeks exhibitions at CityScape Community ArtSpace, and 1 exhibition at the District Foyer Gallery, as well as 1 call for entry process)
• Supporting Arts Education manager with Date Nights at the CityScape Community ArtSpace (2 x date nights)
• Programming, scheduling, contracting, and liaising with artists
• Physical installation and deinstallation of fine artworks associated with gallery exhibitions
• Reception event logistics (securing permits, vendors, entertainment etc.)
• Working closely with the Executive Director to facilitate inclusiveness and accessibility across all events
MANAGEMENT
• Manage multiple calls for submissions including entry forms and promotion and forming a jury panel for CityScape submissions
• Managing exhibition installers and volunteers as required
• Tracking expenses, revenues and artist commissions
MARKETING
• Working closely with the Marketing Manager, to create communications plans, social media strategies and promotion for exhibitions and special projects (including the creation and distribution of press releases, and promotional materials)
• Work closely with the Marketing Manager to manage sponsor and partner recognition in promotional materials
• Distributing print marketing materials for all exhibitions
Qualifications:
Education and Experience
• Minimum two years’ experience in curation or administration of a professional gallery, community arts setting or similar related field
• University education in a related field or an equivalent combination of education and experience
• Experience working with artists
• Experience in artwork installation, hanging and packaging is necessary
• Experience managing groups of volunteers
• Physically able to lift and safely move artworks of varied dimensions and weight with assistance
• Excellent relationship-building skills with an ability to communicate and work effectively with a variety of internal and external stakeholders
• Demonstrated ability to work independently as well as collaboratively within a team environment
• Demonstrated ability to prioritize tasks and meet deadlines
• Ability to work evening and weekend hours, as required
• A valid driver’s license and access to a reliable vehicle would be an asset
• Strong knowledge of the North Shore arts and culture sector would be an asset
• Experience working with First Nations and diverse communities would be an asset
• A valid Occupational First Aid Level 1 certificate would be an asset
• A valid Serving It Right Certificate would be an asset
• A valid Food Safe Certificate would be an asset
Competencies:
• Excellent writing, typing, and organizational skills
• Highly proficient communication skills for in-person, phone, and digital communications
• Excellent interpersonal skills
• Experience using MS Office for administration, particularly Word, Excel, and Outlook
• Experience resolving complex situations, multi-tasking, and evaluating and managing priorities
