Evergreen Cultural Centre Society operates a professional venue that offers arts and cultural services to the Tri-Cities area (Coquitlam, Port Coquitlam, and Port Moody). Our mission is to inspire the community by providing engaging, quality entertainment, exhibitions, and arts programs in a welcoming environment. The Centre houses a 257-seat, flexible black box theatre and a 1,500 square-foot public art gallery. The Rehearsal Hall and four art studios provide an additional 5,000 square-feet of space for Evergreen’s classes, workshops, and rentals, while the glassed-in lobby offers a spectacular view of Lafarge Lake.

Job Description:

The Front of House Coordinator is responsible for coordinating and ensuring the smooth delivery of all front of house activities including event set up, scheduling staff and volunteers, providing artist hospitality, and overseeing concession sales and inventory while ensuring the comfort of patrons visiting the theatre, art gallery receptions, and special events.

This position reports to the Executive Director and is supported by part-time assistants who help oversee events. While this offers some discretion in determining your schedule, due to the event-based nature of the work, most hours will be in the afternoons and evenings and is not eligible for remote work.

Responsibilities:

• Plans, assigns, and supervises front of house activities for public and private events hosted by ECC
• Acts as the consummate host for theatre presentations, events, and receptions; including physical set up and strike, answering inquiries, handling complaints, and resolving problems as needed
• Consults with program managers and technical crew to ensure a common understanding of the requirements for each event
• Recruits, trains, and supervises front of house staff
• Prepares support staff schedules, confirms availability, and approves timesheets for payroll.
• Oversees concession operations and event services with an entrepreneurial spirit. Ensures proper handling of food and beverages
• Orders concession products, ensuring concession products are stocked and accounted for, sources new products with an emphasis on buying local, authorizes supplier invoices for payment, maintains accurate records of sales and inventory levels on a consistent basis
• Carries out associated accounting duties (i.e. cash reconciliation, inventory counting, producing reports)
• Represents ECC to the Liquor and Cannabis Regulation Branch
• Works with the Volunteer Coordinator to train volunteers in the front of house area
• Notifies Volunteer Coordinator of event schedule and required volunteer needs
• Supports client needs related to consignment sales during events (i.e. artist merchandise)
• Checks theatre and lobby areas at the closing of events and notifies Technical Operations staff of any facility needs. Ensures security of the theatre upon closing
• Coordinates catering services for receptions and events as needed
• Performs other similar duties that may be required by the Executive Director

Qualifications:

Knowledge, Skills and Abilities:

• Extensive experience interacting with the public and supervising staff and/or volunteers
• Solid event coordination skills and an understanding of theatre etiquette
• Excellent organizational and multitasking skills.
• Flexibility to work varying hours, primarily afternoons, evenings, and weekends.
• Ability to work independently
• Team building skills with diverse individuals
• Is calm and competent under pressure while providing professional customer service
• Strives to meet and exceed the expectations of patrons, the public, and key stakeholders
• A meaningful understanding and genuine commitment to diversity, inclusion, anti-racism, and equity
• Must be able to work with diverse groups under stressful situations and with the ability to work within organizational policies, regulations, and obligations, and enforce the policies, regulations and obligations with fairness, impartiality, and good judgement
• Due to the nature of the business, the individual will work a flexible work week with evenings and weekends and overtime time as approved by the Executive Director

Desired Qualifications:

• Training or experience in event management, hospitality, food service, or related areas
• Serving it Right and Food Safe Level 1 certification
• Has a demonstrated understanding of Provincial regulations related to liquor licenses, food handling, safety, and emergency evacuation procedures
• Knowledge of Square POS systems and Microsoft Office
• Has an eye for detail
• Occupational First Aid Level 1 certification and asset
• BC driver’s license and own vehicle an asset
• A passion for the arts and community engagement.

Remuneration:

$48,000 per year plus Municipal Pension Plan, extended health benefits, paid vacation, and sick time
