Job Description:

JOB SUMMARY

As Project Manager at Out On Screen, you will work with teams across departments to keep us on track to complete projects related to fundraising, anti-oppression, internal systems, and advocacy. We’re looking for someone who loves putting the training wheels on a project and helping a team learn to ride successfully on their own.


Compensation

The salary for this position is $60,000. This compensation is not negotiable as it reflects the current budget.

Term

The Project Manager is a fixed term contract ending on March 31, 2026. Our ideal start date would be April 1, 2025.

Reports to Executive Director, Eli Morris


THE PROJECTS

The Project Manager will manage and complete select parts of projects focused on the following areas:

• Refine & implement select goals from our Strategic Plan
Develop an advocacy strategy to advance social change
Uphold and integrate anti-oppression in all aspects of our work
Strengthen our internal systems by improving our existing policies and procedures and develop new ones grounded by Out On Screen’s new strategic plan
• Refine & implement our Fundraising Plan
• Create a board development plan
Recruitment and retention
Training and engagement


WORKING CONDITIONS

Schedule

• Out On Screen has implemented a 4-day work week for the 6 months after the festival
• Standard hours are based on a 7.5 hour work day:
For full time hours (April-September), this equates to 37.5 hours per week.
For reduced hours (October-March), this equates to 30 hours per week.
∘ The same salary is offered during periods of reduced hours.
• Expected evening/weekend commitments as follows
2 events quarterly
During the Festival, all staff are required to be available for 10 of the 11 days
• Evening and weekend work is reflected in Out On Screen’s banked hour system; staff can take time in lieu to ensure a balanced work week with supervisor approval
• Our regular office hours are 9am-5pm, Monday to Friday (Apr-Sept) or Monday to Thursday (Oct-Mar) but your supervisor can and will approve a more flexible working schedule.


Physical Workspace

• Out On Screen is currently working in a hybrid format with selective work-from-home supports in place
• Our office is located in Chinatown:
Hot-desking via booking app
Elevators up to unit
2 single-stall enclosed un-gendered washrooms on the same floor as our office
All doors are unpowered and a minimum of 30” wide
Our office is scent reduced but communal spaces are not
A communicable disease plan in place and is available upon request
Secure bike parking is available on site
Dog-friendly office (with an affectionate weimaraner-in-residence)


Vacation/Time Off

• Three weeks paid vacation, with some limitations on vacation surrounding the festival
• Paid office closure at the end of the year (e.g. December 23, 2025 - January 4, 2026)
• Sixteen (16) paid health and wellness days each year
• Additional paid holidays for Indigenous Peoples Day, Boxing Day and Easter Monday each year.
• Option to swap statutory holidays in order to observe different religious holidays or cultural events, including Indigenous ceremonies.


Additional Benefits

Staff are eligible for enrollment in our extended health, drug, and dental benefits plan.

• $500 wellness fund;
• $500 professional development fund;
• $150 networking fund;

Responsibilities:

• Develop, monitor, and revise systems to optimize project planning and delivery
• Align project schedule and scope with the needs and expectations of staff and board
• Assemble teams and delegate project-related tasks to individuals based on skills, knowledge, and experience
• Selectively complete project tasks based on overall team capacity
• Track and monitor project progress to ensure projects are completed within budget and schedule
• Evaluate, allocate and manage available resources to make sure everybody has what they need to complete their tasks
• Facilitate communication and collaboration between project team members
• Continually assess and communicate progress at specified milestones and adjust constraints when and where needed
• Document work and create processes to support successful hand-over past contract scope

Qualifications:

Knowledge, Skills, Abilities

• Strong English language written and verbal communication skills (additional languages considered an asset)
• Able to apply anti-racist and anti-oppressive principles in a non-profit arts context
• Strong skills in time management, problem-solving, strategic thinking and delegation
• Deep knowledge of 2SLGBTQIA+ communities
• Understanding of charity and non-profit operations and compliance
• Ability to coordinate and collaborate with internal and external partners
• Proficient skills with MS Office Suite, GSuite and project management software (ClickUp experience would be considered a strong asset)


Training and Experience

Our ideal candidate would have demonstrated experience and/or training in:
• implementing fundraising plans, ideally in a non-profit arts setting
• managing corporate sponsorships, public sector grants, and/or individual giving
• team management and supervisory experience
• improving internal systems such as policies, procedures, and practices
• managing community outreach and engagement
• supporting or leading HR processes
• event planning and management

We expect this hiring process to follow these guidelines:
• Applications will be reviewed on an ongoing basis

• A first round of interviews will be held via Zoom
Interviews are usually 60 minutes in length and will be held roughly between March 10-13
Applicant updates will be provided ~1 week after interviews
• A second round interviews will be held via Zoom if required for additional candidates or follow up interviews
• Hiring decisions are made roughly a week after all interviews are complete
• Ideal start is April 1, pending availability of the candidate
