Organization Description:

Founded in 1976, the FBCW has a mandate to promote excellence and professionalism in the literary arts across BC and the Yukon. We support writers at every stage of their creative journeys through programs, services, and publications that target craft, connection, and career through both in-person and online delivery.

The FBCW has 1,800+ members, with more than 4,300 subscribers to our weekly newsletters. In this past year alone, we have presented 198 events, attracting more than 5,183 registrants. Current priorities include increasing opportunities for young and emerging writers, developing partnerships, and incorporating more in-person events, such as Edit Fest and our in-person writers’ retreats, while still maintaining online programming, to reduce barriers and ensure access for all.

Programming highlights include the publication of WordWorks, a full-colour tri-annually released magazine (also available online) dedicated to providing educational content and opportunities for writers to receive compensation for their work. We produce and present an annual week-long literary summit/festival featuring established writers, authors and other literary professionals who facilitate engaging and educational webinars and panel discussions focused on craft development.

Job Description:

The Federation of BC Writers (FBCW) is seeking a dynamic and highly organized Special Events Coordinator to join our team to assist with the planning, coordination, and execution of events, including the Summer Writing Challenge. Other responsibilities will include the update of our Video Vault, and testing of online systems. The ideal candidate will be a detail-oriented, proactive individual with a passion for literature and event management who is comfortable working in an online web-based environment.

Responsibilities:

• Event planning and coordination, including helping to plan a diverse range of literary events
• Manage event timelines to ensure that all aspects of the event (venue, speakers, materials, marketing, etc.) are prepared and executed on time.
• Collaborating with the marketing team to ensure cohesive and effective messaging
• Coordinate logistics for all events, including virtual platforms (for webinars), audio/visual needs, and event materials.
• Maintain a video vault of recorded sessions
• Monitor event registration processes including creating registration forms, tracking sign-ups, and assisting registrants as needed.
• Maintain strong communication with speakers, authors, panelists, volunteers, and other stakeholders to ensure all parties are informed and prepared.
• Volunteer coordination & support as needed.
• Other responsibilities as determined within the scope of the role.

Qualifications:

• Excellent written and verbal communication skills
• Experience and/or interest in the literary arts is an asset
• Experience or training in event coordination, marketing and/or communications
• Well-developed time management skills, including ability to manage multiple priorities and meet deadlines
• Strong attention to detail
• Strong teamwork skills, and also able to work independently with minimum supervision
• Passionate about customer service and creating positive, accessible experiences for communities
• Experienced and comfortable working with social media and an array of web-based technologies
• Candidates must be between the ages of 18-30, be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and, have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada
