Under the direction of the Executive Director and in cooperation with Event Committee members, the Special Event Coordinator is responsible to oversee all aspects of each of the following Special Events hosted by the Port Moody Arts Centre Society each year: • Girls Night Out (April), Wine Tasting Events (May/June, November), Festival of the Arts (Sept/Oct), • Wearable Art Awards (Feb 2011, dependent upon funding being received). This is a contract position for the period of March 8 - December 15, 2010, with a schedule that will ebb and flow dependant upon the event timelines and work load.

Responsibilities: 

Responsibilities include, but are not limited to: • Overseeing the planning and implementation of each of the above 5 events, including budgets, planning, programming, marketing & promotions, venue bookings & requirements, performer/artist bookings & requirements, volunteers, and fundraising & sponsorship initiatives. • Maintaining an accurate and complete record keeping system for all events including photo and video record. • Producing a final report within one month after completion of each event. • Working with Event committees, including attending meetings to fulfill the committees’ mandates and vision. • The Special Event Coordinator is expected to be on-site during each special event. Qualifications: 

- At least 2 years experience organizing and managing special events, in a range of disciplines including music, performance and visual arts. - Post secondary education in fine arts including music, marketing, and volunteer management. - Superior knowledge of project and time management systems including the ability to multi-task while organizing complicated productions. - Superior “people” skills in dealing with staff, volunteers and demonstrating first class customer service skills when serving a demanding and diverse public. - Well-rounded knowledge of the music & performance industry and experience dealing with agents, managers and performers including negotiation of legal contracts. - Extensive knowledge of stage requirements including lighting and audio systems. - High degree of computer literacy with specific training and experience in a variety of software programs including: MS Office Suite, Excel, Publisher, In Design and Quick Books. - Excellent command of English including written and verbal communication skills. - Bookkeeping experience including managing budgets and spreadsheets. - Marketing, advertising and communications experience is required for designing and publishing a wide range of publicity materials. - Proficient knowledge of social media tools for e-marketing. - Ability to work as part of a team as well as independently. - Ability to take responsibility for all areas assigned. - Ability to demonstrate positive leadership and effective delegation. - Proven ability to work to deadlines and keep your cool under pressure. - Ability to work flexible hours including long hours during the events. - Solid knowledge of office procedures including records and data management. - Appreciation of and an understanding of the arts in many forms. - Commitment to the mission and mandate of the Port Moody Arts Centre Society. - Current BC Driver’s License.

Remuneration: 

$14,250 plus $500 completion bonus
